FREE CLIENT APPROVAL WORKFLOW TEMPLATE

From ready for review to clear sign-off.

Use this copy-ready client approval process to keep the version, feedback, decision, and handoff clear across freelance and agency projects.

GET THE WORKFLOW

THE FIVE STEPS

A repeatable path for each review.

Set deadlines and revision boundaries with the client in advance. A workflow should make the agreed process easy to follow, not create new terms on its own.

  1. 01

Prepare. Check the deliverable, version label, review scope, decision-maker, and agreed deadline.

  2. 02

Request review. Share the current work in one place and ask for approval, specific changes, or a blocking question.

  3. 03

Resolve feedback. Clarify conflicting notes and agree separately on requests that change project scope or timing.

  4. 04

Resubmit. Make the agreed edits, create a new version, and explain what changed before review.

  5. 05

Record and hand off. Keep the decision tied to the version reviewed, then continue with the agreed next step.

COPY & ADAPT

Make this workflow yours.

Replace the bracketed details, adjust the timing to your agreement, and share the steps with your client or team.

CLIENT APPROVAL WORKFLOW

PROJECT: [project name]
CLIENT: [client name]
DECISION-MAKER: [one person responsible for final approval]
REVIEW DEADLINE: [date and time agreed with the client]

1. PREPARE THE REVIEW
- Confirm the deliverable is ready for client review.
- Label the exact version and make sure the shared link opens that version.
- State what is included in this review and what is outside its scope.
- Ask one focused question so the client knows what decision to make.

2. SEND ONE REVIEW REQUEST
- Share the current deliverable or review link in one place.
- Name the version, review focus, and agreed response deadline.
- Ask the decision-maker to choose: Approved, Changes requested, or Question / blocker.
- Do not treat silence as approval; follow up using the communication plan agreed for the project.

3. TURN FEEDBACK INTO A DECISION
- For each requested change, record the location, the issue, and the requested update.
- If feedback conflicts, pause and ask the decision-maker to resolve it.
- If a request changes agreed scope, timeline, or cost, discuss and agree the change separately.

4. REVISE AND RESUBMIT
- Apply the agreed changes and create a new, clearly labeled version.
- Keep earlier versions and their feedback available for context.
- Summarize what changed and repeat the review request for the new version.

5. RECORD APPROVAL AND HAND OFF
- Record who approved, when, and the exact version they reviewed.
- Save the approval with the deliverable and relevant project terms.
- Complete delivery, publishing, or the next project step as agreed.

Adjust response times and revision boundaries to the project agreement. This workflow is an operational template, not legal advice or a substitute for contract terms.
